Request only what the transaction needs

List the documents required for the next step and the reason for each. Do not collect a full financial history because it might be useful later.

Record the request date, the recipient, and the secure channel used.

Verify the entity and the signer

For an entity buyer, record the legal name, the jurisdiction, the signer’s authority, and the document that supports it. A familiar name on an email is not verification.

Route legal and tax questions to the appropriate adviser.

Set retention and access rules

Store documents in the approved transaction folder with access limited to the deal team. Record when access should be removed after closing.

Do not send identity documents through personal email or chat.
