Ask for feedback in a consistent window

Send one short request after the showing and record the date. Do not chase a client more than once unless the agent asks. A luxury buyer expects discretion, not a survey campaign.

Keep the feedback in the approved CRM or listing record. Do not copy it into a shared chat.

Separate facts from impressions

Record what the client said about the property, the price, and the location separately from the agent’s interpretation. Route any maintenance or safety observation to the listing coordinator.

Do not identify the buyer in a document that circulates beyond the agent and the listing team.

Summarize for the seller without oversharing

Give the seller themes and counts, not quotations with names. Note whether the feedback suggests a price question, a presentation issue, or a fit issue.

Record the date of the summary and the agent who approved it.
