Classify the issue by harm and urgency

Separate safety, active damage, habitability, and cosmetic issues. A leak above a wine cellar is not a scuff on a wall.

Record the classification and the person who made it.

Dispatch only with access and approval

Confirm the vendor, the access window, the approval limit, and the contact. A vendor should not arrive without a confirmed plan.

Record the work order and the completion evidence.

Close with the owner and the client

Send a short factual update to the owner or client, with the fix, the cost, and any follow-up.

Review repeat issues monthly.
